Key Accountabilities and Deliverables:

Responsibilities: 
o   To provide full support to the Project Team with all engineering functions including requirements of site based personnel.
o   To undertake all administrative functions of the Project Team to ensure efficient operation of the site/sites.
o   To carry out a quality control function of auditing, maintaining and training to ensure we have a uniformed compliance with Company Standards and Procedure across all projects.
o   To have a responsibility to take care for the Health and Safety of others.
o   To take responsibility for managing diaries and emails, organising events, travel and meetings when required

Duties:

The following duties outline the main duties and responsibilities, however, are not fully comprehensive as the nature of the role requires this individual to adopt other varying duties to meet the requirements of each project as directed by the Company and within the job holder’s capabilities.  The duties will evolve and be modified by in accordance with specific project needs and changes within the Company. 

General Administration 
o   Monitor filing systems paper and electronic in accordance with company procedures.
o   Archive old projects.
o   Endeavour to improve the team’s performance.
o   Monitor supervisor responsibilities and assist where support required.
o   Encourage team to keep office clean and presentable and work down areas free.
o   Assist site team across the project as required. 
o   Diary and OM email management
o   Travel and hotel bookings using preferred suppliers and systems
o   Collation of all OM and Project Manager presentations
o   Collation of Group Ops report for PRISM
o   Collation of Business Review Pack
o   Completion of DSLT forms
o   Collation of RSMT packs
o   Collation/control on management tools folder

Drawing Control & Project Portal Management
o   Print off drawing registers and file, Collate, supersede and hang drawings.
o   Maintain drawing files for QS and Project Team use.
o   Liaise with Drawing Control & Design Team Drawing Control (Including BIM Model)
o   Upload of electronic drawings on to site specific intranets.
o   Organize hard copies.
o   Manage information flow via 4P Viewpoint Portal and advise project team of any actions/requirements
 
Labour
o   Update Project/Unit Labour Resource Schedule with Contract Managers. (Including holiday update).
o   Liaise with Divisional Labour Manager on behalf of Contract Managers.
o   Monitor completion and site sign off by Supervisor of Apprentice Day Book.
o   Workwear administration and logging
o   Return to work notifications
o   Management of NPS interview
o   Arrangement of first stage interviews

Financial
o   Assist in Sending out Sub-sub contract enquiry documentation.
o   Help Project QS as required.
o   Assist with identifying changes on drawings and specification; identifying recoverable variations to original scope.  Cloud and quantify change.
o   To assist in the compilation of tender submissions.
o   Completion of Bid Documentation for all tenders with the Bid Manager Completion of OM expense and business credit card claims

Production Control
o   Input Mechanical and Electrical materials into operations.
o   Assist with the Inputting of plant orders.
o   Assist operation/materials take-offs.
o   Monitor and assist with the timely production of Progress Reports. 

Quality Records
o   Creation and inputting of the Electrical Testing certificate. 
o   Create wall, ceiling and room by room close out/sign off schedules for the site team.
o   Ensure that all Quality documentation is carried out by site team and the correct procedure is undertaken. 
o   Assist in the creation and completion of the Operation & Maintenance Manuals on completion of specific projects.
o   Issue of SHE non-compliance notifications

Training
o   Liaise with HR regarding project specific training requirements. 
o   Advise HR of training to enable both Head Office and site records to be kept up to date.
o   Arrangement for PDP reviews and submissions

The Candidate
o   Good administrative and Organisational Skill – Essential
o   Basic experience/knowledge of construction/engineering – preferred ONC Building Services or similar/not essential.
o   Computer literate – essential.
o   Driving Licence – preferred but not essential.
o   4P Viewpoint experience – essential.
